Staff Augmentation Review from Markiyan (Mark) Novak

Were a UK-based executive search firm that recently completed a major project filling both technical and non-technical positions in Cyprus. Since IT hiring isnt our core specialty, we partnered with Echo to handle those roles. Their team quickly placed two full stack developers and one DevOps engineer through their staff augmentation model. It wasnt our first collaboration, and once again, they proved to be a reliable and effective partner.

Promised coaching support, then completely ghosted after 24 hours.I was contacted by Audrey because I had applied to a position posted by Options on LinkedIn. Audrey gave me the usual spiel about how I had such great skills, and that they had me in mind for a few other roles. One portion of the role that Audrey and I were speaking about required testing. Audrey informed me that it would be difficult, however, if I didn't do so well, they would be open to giving me some coaching. It was also mentioned that this testing wasn't a great representation of the work that I would do, if successful. It turns out I didn't meet the threshold on the testing, and stated to Audrey that I felt I could do better. I didn't hear back until the next day, and I was told that I didn't meet the standards. Okay, that's understandable. But, I followed up and asked about coaching and received no response. It's been several weeks now, and I haven't heard back from Audrey since. Not to mention, I was rejected from a very basic, entry-level job posted by Options very soon after. From the initial call, to being ghosted took only one day. I've secured employment elsewhere, but I'd recommend looking elsewhere for recruitment services that actually follow through on their commitments.

My experience working for this company as a Sales Representative. If you are not South-Asian, the chances of having a chance to grow and move up within the company is almost zero, heck you barely have a chance to get hired by this company if you are not South-Asian. Extreme bias and favoritism. Literally, anywhere between 85% to 90% of the sales-force are South-Asian including management Territory Managers, District Managers, Team Leads, Captains, and only the very top high management at KOG are majority not South-Asian. It is not a small sales force at KOG, between their 2 biggest clients, Canadian Tire Bank and Presidents Choice Financial Bank, there is anywhere I would estimate between 1000 plus sales representatives at least in each program. KOG are completely in control of the hiring process, and their clients have no say as far as I am aware of. I do wonder why their major clients like the ones mentioned don't at least push back a little bit as although they are not in control of the hiring process at KOG, the people selling their financial products represent their brands as ambassadors for their respective companies. I always felt these 2 major clients would want to promote diversity, equity and inclusion to their customers with the front-line sales-force representation, it seems to me that it is not the case. Other observations, the overwhelming majority of the sales-force at KOG, are comprised of International Students and Temporary Foreign Workers, not Canadian Citizens. Look at KOGs online social media posts on Linkedin and Facebook. They don't hide it. If you are not South-Asian and in the very tiny minority that somehow slipped through the cracks of KOGs recruitment team and got hired by them for their sales-force, you will experience what I am saying for yourself. I never felt so marginalized and never saw so much favoritism towards 1 background of people working at any company as I do working at KOG. Almost zero diversity, equity, and inclusion from coast to coast.

I had a very disappointing experience with Kognitive. After completing their training program and passing the required exams, I was expecting at least a fair opportunity to demonstrate my skills on the job. Unfortunately, I was evaluated solely based on one trainer’s opinion, without being given a chance to actually work and prove myself in a real sales environment.I find it unfair that a company would invest time in training someone, only to reject them before they’ve had a proper chance to perform. The evaluation process seemed subjective, and there was no transparency or support in addressing concerns.I believe every new employee deserves a probationary period and should not be judged based on a single individual’s expectations—especially when sales require real-world interaction and adaptability.

Frequently Asked Questions

What is a staffing firm?

A staffing firm is an agency that specializes in matching employers with job seekers, helping businesses find the right talent for their needs. Compared to HR outsourcing companies, which handle a broader spectrum of human resources functions such as payroll, benefits administration, and compliance, staffing agencies focus primarily on recruitment and placement.

A staffing firm recruits employees for businesses looking to fill specific roles, aiding them in hiring for different job types:

  • Temporary: Working assignments with a predefined timeline and defined start/end dates
  • Temp-to-hire: A temporary recruitment used to help companies determine the temp workers’ fit for long-term employment within the company
  • Direct hire: A permanent position wherein the staffing agency serves as a recruiter.

Staffing agencies cater to a variety of industries, each with unique requirements:

  • Nascent entities: Startups in the early stages of development need highly skilled, experienced individuals who can prompt product development and business growth. These staff procurements often focus on building a strong team foundation and sourcing candidates with the right mix of skills and cultural fit to foster innovation and prosperity.
  • Small and medium-sized enterprises (SMEs): These businesses pursue staffing agencies’ service on account of their specialized expertise and extensive network, which enables them to connect with qualified workforce more quickly and effectively than they could on their own.
  • Established companies: Large corporations often inquire about on-demand staff to manage fluctuating, seasonal spikes in workload or specialized professionals for short-term projects. Staffing agencies also conduct specialized recruitment for hard-to-fill roles or executive search services for leadership positions.

Findings show that US staffing companies hire over 14.5 million temporary and contract employees annually. Notably, in 2022, the global staffing industry generated nearly $650 billion in revenue, experiencing gradual growth compared to previous projections.

The advantages of hiring a staffing agency are demonstrated in TemPositions’ client case:

TemPositions assisted AcctPositions, an AI software startup, in finding an experienced finance executive. The client encountered difficulties on a CFO/Controller level, particularly with revenue recognition and timely profit and loss (P&F) statement issuing. The agency hired a seasoned financial expert who specialized in the requested tasks and was equipped with technical prowess for the AI software industry. This crucial team extension led to successful capital raising and optimized operational flow.

What do staffing agencies do?

Staffing agencies recruit candidates, conduct interviews and screenings, and manage aspects of the hiring process. Their service streamlines the candidate selection process and offers access to a broad pool of readily available and suitable candidates. It is particularly valuable for businesses seeking a niche specialist with a specific skill set.

Here are some key services offered by staffing firms:

  • Recruitment and placement: Actively search for, screen, and interview candidates to match them with job openings in client companies. They utilize their extensive networks, industry expertise, and professional networking platforms to find candidates for permanent and temporary positions alike.
  • Temporary staffing: To address short-term needs or peak seasonal workload, staffing agencies provide temporary workers. This flexibility allows companies to scale their workforce as needed without a long-term commitment.
  • Contract-to-hire: This service allows companies to evaluate a candidate’s performance and fit within the organization before making a permanent hiring decision. In doing so, businesses reduce the risk associated with new hires and ensure that the candidate meets the requested profile and culture.
  • Executive search and headhunting: For senior-level and executive positions, staffing agencies conduct specialized searches to find highly qualified candidates. This service includes discreetly approaching potential candidates who may not be actively seeking new opportunities but are a good fit for the role.
  • Onboarding and training: Staffing agencies often assist with onboarding processes to ensure new hires are integrated smoothly into the company. They may also provide training programs to equip temporary or permanent staff with the necessary skills to succeed in the new role.
  • Workforce management solutions: Staffing firms' services extend to performance tracking, compliance management, and workforce planning, intended to help companies manage their human resources more efficiently.
  • Industry-specific expertise: Many staffing agencies specialize in particular industries, such as IT, healthcare, or finance. They are familiar with the intricacies of these verticals and know what skills to look for when selecting candidate profiles.

A notable example of staffing service can be seen in Admios’ project:

Following considerable funding, healthcare tech provider Collective Health sought Admios’ service to scale its engineering team promptly. The agency assembled a team of five developers to enhance the client's admin and member portals, allowing Collective Health to meet critical engineering goals swiftly. The team expansion resulted in sustained company growth, new features developed, and strategic collaborations with relevant healthcare stakeholders.

What is the difference between recruiting, HR outsourcing, and staffing agencies?

The difference between recruiting, HR outsourcing, and staffing agencies lies in the scope and nature of their services. Recruiting focuses on finding and hiring candidates for specific job openings, typically for permanent positions.

HR outsourcing involves delegating entire HR functions, such as payroll, benefits administration, and employee relations, to an external provider to manage these tasks efficiently.

Staffing agencies provide temporary, contract, or permanent workers to companies, offering flexible workforce management by handling recruitment, placement, and sometimes payroll and benefits administration for these employees.

Key focus areas of staffing agencies include:

  • Temporary staffing: Supplying short-term workers to manage workload spikes or special projects
  • Executive search and headhunting: Recruiting for senior and executive-level positions
  • Payroll and benefits administration: Handling payroll and benefits for placed employees
  • Skill assessment and testing: Evaluating candidates' skills and competencies to ensure the right fit for specific roles
  • Compliance management: Ensuring adherence to labor laws and regulations for both the agency and the client
  • Remote staffing solutions: Providing remote or virtual employees to meet the needs of modern, flexible work environments
  • Project-based staffing: Supplying specialized talent for specific projects or initiatives
  • Temporary-to-permanent placement: Offering temporary employees the opportunity to transition to permanent roles based on performance
  • International staffing: Providing staffing solutions for companies with global operations or international expansion plans.

Key focus areas of HR outsourcing agencies include:

  • Employee relations: Addressing workplace issues, conflict resolution, and maintaining positive employee relations
  • Recruitment and staffing: Managing the recruitment process, including sourcing, interviewing, and hiring candidates
  • Compliance management: Ensuring adherence to labor laws, regulations, and company policies
  • Performance management: Implementing performance appraisal systems and tracking employee performance
  • Onboarding and offboarding: Managing the process of integrating new hires and smoothly transitioning departing employees
  • Employee engagement: Implementing initiatives to improve employee satisfaction and engagement
  • Compensation management: Designing and managing compensation structures and salary administration
  • Time and attendance tracking: Managing employee timekeeping and attendance records
  • Conflict resolution: Mediating and resolving employee disputes and grievances
  • Diversity and inclusion initiatives: Promoting a diverse and inclusive workplace
  • Employee surveys and feedback: Conducting surveys and gathering feedback to improve HR practices and employee satisfaction.

Key focus areas of recruitment companies include:

  • Talent sourcing: Identifying and attracting potential candidates through various channels such as job boards, social media, and networking events
  • Candidate screening: Conducting initial screenings to assess candidates' qualifications, experience, and fit for the position
  • Interview coordination: Arranging and managing interviews between candidates and hiring managers
  • Job description creation: Crafting detailed and accurate job descriptions to attract suitable candidates
  • Employer branding: Promoting the client company’s brand to attract top talent
  • Candidate database management: Maintaining a database of potential candidates for future job openings
  • Background checks: Performing background checks and verifying candidates' credentials and work history
  • Skills assessment: Evaluating candidates' skills and competencies through various testing methods
  • Reference checks: Contacting and verifying references provided by candidates
  • Recruitment process outsourcing (RPO): Managing the entire recruitment process for client companies
  • Behavioral interviews: Conducting interviews to assess candidates' soft skills and cultural fit.

How much do staffing firms charge for their services?

Staffing firms typically charge a recruitment fee of 20% to 30% of the placed employee's first-year salary. Namely, for an employee with a $100,000 annual salary, the estimated staffing fee would be approximately $20,000 to $30,000.

Common payment models for staffing services include:

  • Retainer: Employing an agency’s service for an extended period, compensated via upfront payment and ongoing fees for dedicated services
  • Percentage: The most prevalent payment method across staffing agencies, entailing a fixed ratio of the hired candidate's salary, usually between 15% and 30%
  • Bill rate: The total amount the agency charges the company for supplying workers, including the individual's pay rate and an additional markup.

The top 50 staffing firms on DesignRush charge an average of $48 per hour. Roughly 12.5% of the staffing agencies on DesignRush accept projects with a minimum budget of less than $1,000, while only 1.6% accept projects with a $50,000 minimum budget.

Why should I hire a staffing agency?

You should hire a staffing agency because it streamlines and expedites the hiring process, saves time, and expands the search for qualified candidates. Partnering with a professional staffing agency provides several advantages over managing recruitment in-house:

  • Candidate profile assessment: Staffing agencies evaluate candidates' skill sets to ensure higher quality hires. Research shows that 69% of employers globally need help finding workers with the right blend of technical skills.
  • Access to a larger talent pool: Staffing agencies maintain extensive databases of pre-screened candidates and have access to a wide network of potential hires, giving you a larger selection of qualified applicants. Notably, 61% of freelancers favor partnering with staffing agencies over online talent platforms.
  • Time and resource savings: The hiring process can be time-consuming and resource-intensive. Staffing agencies handle the entire process, from job posting and screening to interviewing and onboarding, allowing managers to focus on core business activities.
  • Flexibility: Whether you need temporary workers for a short-term project or permanent employees for long-term positions, hiring a staffing agency grants you value in having a fluid workforce that can be dynamically adjusted to meet the hiring needs on an ongoing basis.
  • Reduced hiring risks: Staffing agencies conduct thorough background checks, reference checks, and skills assessments to pinpoint a suitable talent for the requested role. They also offer contract-to-hire options, allowing you to evaluate a candidate's fit before making a permanent hiring decision.
  • Improved retention rates: Staffing agencies help improve job satisfaction and retention rates by matching candidates with roles that suit their skills set and career ambitions, thus reducing turnover costs.
  • Hiring guidance: Drawing on their extensive experience, recruiters can provide valuable insights on hiring strategies, salary benchmarks, and best practices, helping companies offer competitive salaries in their respective fields.

The benefits of hiring a staffing firm can be seen in Outstaff Your Team’s case:

Australian digital marketing agency MONOBUNT hired Outstaff Your Team to oversee the Tier 2 Support Specialists workflow and manage administrative, paperwork, and payroll tasks. To accommodate the request, the agency assigned the requested specialist alongside an account manager for regular updates while taking charge of the operational processes and tech specialist retention. This allowed MONOBUNT to focus on core business operations without administrative burdens, resulting in optimized workflows, reduced project managers' workload, and improved customer communication.

How do I choose the best staffing agency for my business?

You can choose the best staffing agency for your business by following a structured approach. Here are the steps to guide you through the selection process:

  1. Define your goals and requirements: Clearly outline your hiring needs, including the types of positions you need to fill (temporary, permanent, or contract), the skills required, and the number of employees.
  2. Define your budget: Establish how much capital you can allocate for staffing services, considering both short-term and long-term financial impacts.
  3. Do your due diligence: Research potential staffing agencies by reviewing their websites, reading client reviews, and assessing their standings on marketplace platforms like DesignRush.
  4. Check references and testimonials: Request references from the staffing agencies and contact their previous clients to get feedback on their performance. Look for testimonials and case studies that demonstrate their success in similar projects.
  5. Evaluate their industry experience: Assess the staffing agency's familiarity with your industry to ensure they understand your specific needs and can provide relevant candidates.
  6. Inquire about their hiring process: Ask about the agency’s approach when recruiting and screening candidates, including their methodologies and technologies used.
  7. Assess their scouting techniques and tools: Determine what tools and techniques the agency uses to find and attract top talent, ensuring they have access to a broad and relevant candidate pool.
  8. Send a Request for Proposal (RFP): Prepare an RFP outlining your requirements, timeline, budget, and general expectations. Send it to the shortlisted staffing agencies and evaluate their responses based on their proposed solutions, pricing, and ability to meet your needs.
  9. Interview potential agencies: Schedule interviews with the shortlisted agencies to discuss their processes, expertise, and approach to recruitment. Ask about their candidate screening methods, turnaround times, and how they handle challenges.
  10. Request a quote and discuss costs: Get detailed quotes from potential agencies, comparing their pricing structures and offered services to ensure they align with your budget and needs.
  11. Evaluate external resources: Consult with industry experts or colleagues who have partnered with staffing agencies in the past to get additional insights and recommendations.
  12. Negotiate and sign the contract: Finalize the agreement by negotiating terms and conditions to ensure they meet your requirements and protect your interests. Once satisfied, sign the contract to formalize the partnership.
